Work Schedule

Monday through Friday, 8:00 AM to 5:00 PM; however, schedule may vary to meet departmental needs.

Basic Function

Performs specialized clerical and paraprofessional tasks in a personnel unit (e.g. Employment, Worker’s Compensation, Staff Benefits, Records, Academic Personnel). Reports to Senior Personnel Assistant or other designated supervisor.

Characteristic Duties and Responsibilities

Processes personnel actions (e.g., appointments, status changes, wage increases, vacation/sick leave requests, benefits enrollment and adjustments, etc.); verifies accuracy and completeness of paperwork; calculates adjustments; enters transactions on-line.

Contacts civil service employees, faculty, professional staff members, supervisors, and/or external agencies and vendors to verify or obtain information, correct problems, schedule activities, etc.

Responds to requests for information by mail, telephone, or in-person; explains personnel policies and procedures; verifies employment; provides information on personnel programs (e.g., benefits packages, COBRA, fee-waiver, etc.).

Performs various calculations (e.g., employee retention points, sick leave and vacation hours, pay increases, pro-rated salary amounts, imputed tax, etc.).

Maintains computerized and manual records for area of specialization (e.g., workers’ compensation, employment, etc.).

Compiles information to complete forms and reports; accesses computerized or manual files, completes and submits forms, creates reports.

Types a variety of materials (e.g., routine correspondence, standardized letters, forms, reports, selection tests, etc.) on word processor or typewriter.

Performs clerical duties such as filing, ordering supplies for area, opening, sorting, and distributing mail, sending out mass mailings, and operating various office machines (e.g., photocopiers, facsimile, adding machines).

May occasionally speak to groups of employees or applicants concerning personnel programs; may monitor persons taking selection tests.

May train and direct student or temporary employees; may participate in training new employees.

Performs related duties as required.

Minimum Qualifications

High school diploma or equivalent. A minimum of one year of experience in office environment.

Knowledge Of:
Alphanumeric filing procedures

Office practices and procedures

Skill In:
Interpersonal communication to effectively interact with University personnel and public in person and over the telephone (e.g., to provide information about benefits, to explain policies and procedures)

Written communication (e.g., to compose memos, letters, and reports)

Typing (i.e., 35 net words per minute)

Ability To:
Exercise discretion in distributing and receiving information of a confidential and sensitive nature

Apply policies and procedures

Identify and clarify discrepancies in information

Operate computer for word processing and data entry/retrieval; knowledge of specific software may be preferred

Maintain accurate records

Operate various office equipment (e.g., calculator, copier machine, facsimile machine, etc.)

Proofread and correct errors

Read and accurately follow oral and written instructions

Perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages)
