Basic Function

Creates and maintains manual and automated records on individuals, of a confidential or sensitive nature, in a department designated as the custodian of statutory records (i.e., Police Department, University Health Services, Registrar’s Office, etc.).

Characteristic Duties and Responsibilities

Creates, maintains and processes manual and automated records on individuals, of a confidential or sensitive nature.

Verifies accuracy and completeness of paperwork required to create or modify a record; verifies authenticity of supporting documents; clarifies discrepancies. Processes records on-line; retrieves and corrects data to ensure integrity of database. Searches records to retrieve information requested by authorized individuals; resolves problems related to specific request or record. Adheres to strict, established guidelines in disseminating information or restricting access to records. Communicates policies and procedures to those providing and/or requesting information. May perform other clerical duties such as typing, filing, mail sorting, etc. May train and direct student or temporary employees; may participate in training new employees. Performs related duties as required.

Other duties could include processing application payments and initiating the refund process when needed; managing applications submitted online.

Minimum Qualifications

High school diploma or equivalent. A minimum of one year general office experience utilizing a computer for word processing or data entry/retrieval.

Required Knowledge, Skills, and Abilities: 1. Ability to exercise discretion in distributing and receiving information of a confidential and sensitive nature. 2. Ability to operate a computer for word processing and/or data entry/retrieval. 3. Ability to proofread and correct errors. 4. Ability to identify and clarify discrepancies in information. 5. Skill in typing (i.e., 35 net words per minute), if required by position. 6. Knowledge of micro- and/or mainframe computer systems. 7. Knowledge of office practices and procedures. 8. Knowledge of standard procedures for alphanumeric filing. 9. Ability to read, write, and accurately follow oral and written instructions. 10. Ability to operate various office equipment (e.g., calculator, copier machine, facsimile machine, etc.). 11. Ability to perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages). 12. Ability to classify information according to established methods. 13. Ability to apply policies and procedures. 14. Skill in interpersonal communication to effectively interact with University personnel and public in person and over the telephone (e.g., to answer routine questions, explain policies and procedures).
