Job Title:

Human Resources Records Coordinator

Physical Location:

 Kent Campus - Kent, OH

Salary:

$17.57 per hour 

Basic Function:

Responsible for the day-to-day maintenance of employee data in the Human Resource Information System. Coordinates human resources records information for employment, benefits, payroll, performance management, records retention and reporting.  Performs a variety of administrative HRIS functions ensuring data integrity and compliance with university policy, regulations, and protocols. Maintains accurate employee information while working independently under general direction. Reports to Manager, Human Resources Records or designated supervisor.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Confirms accuracy and integrity of data entered and assures information is available on a timely basis, correct and update employee data as needed.

Researches, analyzes, prepares and processes human resources personnel actions maintaining confidentiality of sensitive information.

Actively participates in cyclical HRIS processes including HRIS upgrades, testing of system changes, workflow implementations and year-end rolls, etc.

Researches and corrects leave reporting issues for faculty and staff.

Delivers routine/daily/weekly/monthly reporting and responds to basic ad hoc data request, identifies HRIS reporting issues and develops and proposes solutions.

Assists in the development and implementation of standard operating procedures for human resources employment records.

Resolves sensitive matters, de-escalates challenging situations with employees, supervisors, department and external parties; discerns when to make referrals or forward matters to the appropriate parties.

Coordinates paid and unpaid leave processing for staff and resolves leave issues as required. Implement annual adjustments to vacation leave overages.

Responds to inquiries and provides guidance in the completion of personnel paperwork for employees; explains personnel policy and procedures.

Serves on project teams to improve records processes and procedures.

May train and/or indirectly supervise student employees.

Performs related duties as required.

Minimum Qualifications:

High School diploma or equivalent. Two years of data maintenance experience utilizing computer applications and/or electronic records processing systems.

License/Certification:

 

Knowledge Of:

Human Resources Information System (HRIS) data base or comparable system
Records processing, maintenance and retention
Family Medical Leave Act (FMLA)
Microsoft Office Suite and Outlook

Skill In:

Written and interpersonal communications to effectively interact with university personnel and outside constituents
Providing excellent customer service

Ability To:

Understand human resources and payroll concepts, practices and procedures
Adjust to changing priorities and respond appropriately to deadlines
Exercise discretion in distributing and receiving information of a confidential and sensitive nature
Manage time effectively and set priorities
Work with a diverse population of staff, faculty and outside constituents
Attend to details and maintain accurate records
Recognize patterns and issues in set of data and determine relevant and irrelevant data when conducting analytical work
Develop and maintain relationships with key contacts to enhance workflow and quality
Collaborate with others on significant projects
Create training and informational material
Work in a high volume and high paced environment
Independently perform operational, transactional and technical tasks within the HRIS system
Explain information, policies and procedures to specific situations and respond to sensitive inquiries

Preferred Qualifications – if applicable:

Knowledge of reporting software
Knowledge of DocuSign or similar digital signature platform
Experience in higher education or other Ohio public service experience

Working Conditions / Physical Requirements:

Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects. Incumbent must be able to communicate with others. Incumbent may be required to travel from building to building and off campus occasionally.

Working Schedule:

 Monday through Friday, 8:00 a.m. to 5:00 p.m.; however, schedule may vary to meet departmental needs.
