Job Title:

 HR Records Assistant - Short Term Hire (up to 4 months temporary position)

Physical Location:

 Kent Campus - Kent, Ohio

Salary:

 $14.35/Hr.

Basic Function:

Performs specialized clerical tasks in HR Records. Assist with leave reporting, maintenance of employment files, data entry and reporting.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Performs a variety of tasks such as:

  • Completing or assisting with the completion of a variety of reports (e.g., Ohio Department of Job and Family Services Quarterly Report s and Monthly Count Reports,  Ohio New Hire Report, etc.;
  • Updating of retention points for part-time classified employees;
  • Validating Service Achievement Awards;
  • Assisting with data clean up to ensure accuracy;
  • Routing Flashine leaves due to supervisor changes, approving leaves and manually entering leaves;
  • Assisting with or completing Public Records Requests; and
  • Indexing and archiving documents for personnel files using electronic methods
  • Enter leave reporting into Banner system
  • Answers email and telephone calls related to variety of issues such as appointments, status changes, leave requests, etc.
  • Contacts civil service employees, faculty, professional staff members, supervisors, and/or external agencies and vendors to verify or obtain information, correct problems, schedule activities, etc.
  • Prepares a variety of materials (e.g., routine correspondence, standardized letters, forms, reports, etc.)
  • Performs clerical duties such as filing, ordering supplies for area, opening, sorting and distributing mail, sending out mass mailings.
  • Provides assistance to the Human Resources Records department as needed to ensure timely processing of personnel actions.
  • May participate in training new employees.
  • Performs related duties as required.

  • One year of experience maintaining electronic records is preferred, but not required.

Minimum Qualifications:

  • High school diploma or equivalent.

License/Certification:

 

Knowledge Of:

  • Office practices and procedures; data entry with attention to detail.

Skill In:

  • Interpersonal communication to effectively interact with University personnel and public in person and over the telephone (e.g., to provide
  • Written communication (e.g., to compose memos, letters, and reports)
  • Utilizing Microsoft Office products (e.g., Word, Excel, etc.)

Ability To:

  • Exercise discretion in distributing and receiving information of a confidential and sensitive nature
  • Apply policies and procedures
  • Identify and clarify discrepancies in information
  • Maintain accurate records
  • Proofread and correct errors
  • Read and accurately follow oral and written instructions
  • Perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages)

Preferred Qualifications – if applicable:

Prefer data entry, payroll and leave reporting experience/knowledge within and HRIS system.

Working Conditions / Physical Requirements:

Normal office environment; requires frequent use of video display terminal.

Working Schedule:

 24-28 hrs/wk: M,W & H 8a-5p or MTWHF 12p-5p. (Flexibility in working schedule).
